Step 1: Identify Your Forwarding Email Address
Once you add your first verified sender address to send email through our servers, we’ll provide you with a custom forwarding address that you need to set up. It will look something like:
[random-string]@inbound.postmarkapp.com
This is the email address used by our system to process and track replies.
Step 2: Log in to Your Email Hosting Provider
Access the admin or settings panel of your email hosting provider:
Google Workspace: admin.google.com
Microsoft 365: admin.microsoft.com
Custom Provider: Login via your email hosting provider (e.g., Yahoo Mail, Zoho Mail, ProtonMail)
Step 3: Configure Forwarding to Postmark
Set up a forwarding rule to send a copy of incoming emails to the Postmark Inbound Stream address ([random-string]@inbound.postmarkapp.com
).
Instructions for Popular Providers:
Google Workspace/Gmail:
Go to Gmail settings and select See all settings > Forwarding and POP/IMAP.
Click Add a forwarding address and enter the Postmark Inbound Stream address.
Confirm the forwarding setup (you will receive a confirmation code at the Postmark address, which we will forward to the admin email of your Myphoner account).
Enable forwarding to the Postmark address.
Microsoft 365/Outlook:
Go to the Exchange Admin Center.
Select Mail Flow > Rules and create a new rule.
Set the condition to forward emails sent to your email address (e.g.,
[email protected]
).Add the Postmark Inbound Stream address as the forwarding destination.
Save the rule.
Other Providers:
Look for options to forward incoming emails or set up mail rules.
Add the Postmark Inbound Stream address as a forwarding destination (if forwarding requires confirmation, we will forward the confirmation code to the admin email of your Myphoner account).
Step 4: Test the Forwarding
Create a test lead and send an email through Myphoner to your address (e.g.,
[email protected]
).Reply to the email and verify:
The reply still arrives in your inbox as usual.
Our system processes the reply and it shows up as a reply in the test lead activity log.
Troubleshooting
I am using Microsoft 365/Outlook and get an error saying “Your organization does not allow external forwarding” - Use the guide Fix Your Organization does not allow External Forwarding.
