How to auto-expire and recycle leads in Myphoner

What is Lead Recycling?

Lead recycling works by automatically removing leads from your queue based on specific criteria, such as inactivity or lack of engagement. These leads are then recycled and re-engaged at a later time, for example when you run out of fresh leads or after a pre-defined waiting time.

How does lead expiration work in Myphoner?

Lead expiration in Myphoner works by automatically identifying leads that have exceeded a certain timeframe or maximum number of call attempts without getting qualified. Once a lead is identified as expired, Myphoner removes it from the sales pipeline and places it into a separate pool for expired leads.

From there, Myphoner lets you migrate leads to re-engage with them and bring them back into the sales process. Alternatively, the lead can be archived or deleted entirely, depending on the preferences of the sales team.

By setting up lead expiration rules in Myphoner, sales teams can ensure that they are focusing their efforts on the most promising opportunities and avoiding wasting time and resources on unresponsive leads. How does re-engaging expired leads work in Myphoner?

Re-engaging with leads in Myphoner works through pipeline automation. This automation consists of migration rules that can be set up to reinstate leads into the same or a different pipeline for follow-up through calling, texting, and emailing in Myphoner, or export the leads for list activation in different systems, such as email marketing automation tools.

An example could be assigning the leads to a different salesperson for a fresh approach, including tasks like sending follow-up emails or text messages to try to (re-)engage the leads.

By using pipeline automation to re-engage with inactive or expired leads, sales teams can increase the chances of converting them into active opportunities. Configure Lead Expiration

To set up automated Lead Expiration in Myphoner, go to the list configuration of the list in question, and enable it.

Set your expiry options to match your strategy.

Once you have a satisfactory default expiry, consider setting extended expiry to allow a few extra attempts in case you connect but do not qualify the lead on the first connect.

Remember to save the configuration when you change it.

Configure Lead Recycling

To recycle leads after they've been removed from the queue - whether by automated expiration or manually by marking them as lost - you set up pipeline automation to match the expiration criteria - e.g. the state and category you use for expired leads and the time from the expiry to the desired re-engagement.

Go to Manage -> Pipeline and create a new automation.

Important settings to consider:

  1. Last contacted months ago - the amount of time in months from the leads were expired to the should be re-engaged.

  2. Mark leads as - it's important to mark leads as New or Call back, otherwise they will not re-enter the queue.

We suggest running the automation every week but it can also be set to run daily or manually on demand.

You may also consider resetting activity logs so that agents are not bothered with old activity or start fishing leads because they can see the lead was expired earlier. If you reset the activity log, we recommend setting the state to New as well.
